From Manual Chaos to Automated Clarity — Without Hiring Another Ops Person
You don't need another full-time ops hire. You need better systems. There's a difference between adding headcount to absorb broken processes and actually fixing them. One scales your problems alongside your team. The other gives you a back office that runs the way it should — without someone manually holding it together every day.
-
Map your workflows end-to-end so nothing falls through the cracks
-
Document everything in a playbook your team can actually follow
-
Audit your software stack and cut what you don't need
Your processes are either an asset or a liability.
Every founder we work with thinks their processes are fine — until they try to delegate, hire, or take a week off. Here's what we actually find:
-
Undocumented processes don't scale — they create bottlenecks, errors, and turnover risk
-
Manual workflows = invisible overhead eating into your margins
-
Automated workflows give you clarity, consistency, and the ability to delegate without fear
How We Automate and Optimize Your Financial Operations
MAP YOUR WORKFLOWS
We start by mapping your current processes end-to-end — who does what, which tools are involved, and where the bottlenecks live. You see your operations clearly, probably for the first time.
AUTOMATE THE REPETITIVE WORK
We identify every manual, repetitive task and automate it using Make and n8n — two of the most powerful no-code/low-code automation platforms available. Invoicing triggers, AP approvals, bank reconciliation alerts, and more.
ELIMINATE BOTTLENECKS
We audit your workflows and software stack to find exactly where things are slowing you down — then eliminate the friction, the redundant tools, and the manual steps that shouldn't exist in the first place.
YOUR PROCESS PLAYBOOK
We capture every process in a clear, easy-to-follow playbook — built in Notion, with Miro process maps, Scribe screenshots, and Loom walkthroughs. New employee? Hand them the playbook. Taking a vacation? Your team knows what to do.

Our Automation Tech Stack
Good automation starts with the right tools. We've built our stack around platforms that are powerful, proven, and built for the kind of workflows growing startups actually run
Built for Startups That Are Outgrowing Their Manual Processes
You've got the team, the traction, and the ambition. What's holding you back is the back office.
Your Invoices Are Going Out Late
Cash flow problems rarely start with revenue. They start with a manual invoicing process that depends on someone remembering to do it.
Your Reconciliations Are Done by Hand
Every hour your team spends matching transactions in a spreadsheet is an hour they're not spending on work that actually moves the needle.
Approvals Are Stuck in Someone's Inbox
When every expense or vendor payment needs a manual nudge to move forward, your operations run at the speed of whoever's slowest to respond.
Your Processes Live in People's Heads
When a key team member leaves or a new one joins, the knowledge walks out the door with them — or takes months to transfer.
Your Software Stack Has Gotten Out of Hand
Too many tools, too many logins, and none of them talking to each other. The overhead of managing your stack has become its own full-time job.
You've Tried to Document Before — It Never Stuck
A Google Doc graveyard isn't a process library. Documentation only works when it's built into the workflow, not bolted on after the fact.
Have questions? We've got you.
-
I’ve never documented my processes. How should I start?
Don’t worry, we’re here to help! While it can be overwhelming to know where to begin, we’ll walk with you step by step to evaluate, optimize, automate and document your processes.
-
Do I need to spend a ton on documentation software?
Stop! Put down your wallet! We take care of the software necessary to document your processes. We use Loom to record videos, Miro to create process maps (aka flowcharts), Scribe to automate screenshots, and Notion to house it all. Even if we stop working together, we’ll package up your process docs for you to keep and use on your own.
-
What is Make and why do you use it?
Make is our go-to for most client workflows — it's visual, has 1,000+ app integrations, and is easy to hand off. n8n is better suited for more complex or custom workflows where you need more control or are working with proprietary APIs. We match the tool to the use case.
-
What kinds of accounting tasks can be automated?
More than most founders expect. The most common workflows we automate include invoice creation and delivery, accounts payable approval routing, expense categorization, bank reconciliation alerts, payroll syncing, sales tax filing triggers, and month-end close checklists. The right answer for your business depends on your current stack and where the friction lives — which is exactly what we map out in the first step of our process.
-
How long does it take to implement automation?
It depends on the complexity of your workflows and how many integrations are involved, but most clients see their first automations running within the first few weeks. Full implementation — including documentation and playbook build-out — typically takes one to three months. We prioritize the highest-impact workflows first, so you're seeing real time savings early in the engagement, not at the end of it.
-
What happens if we stop working together?
Everything we build for you stays with you. We'll package up all of your process documentation — your playbooks, process maps, Loom walkthroughs, and Scribe guides — so you can keep using them independently. For your automations, we'll export your Make workflows as JSON files that you can import directly into your own Make instance and run without us. You won't be left with a black box. You'll leave with a fully documented, fully functional back office that your team owns.
